We Feed You is committed to providing quality services to you and this policy outlines our ongoing commitment to you in respect of how we collect, use and disclose your Personal Information. We collect your Personal Information for the primary purpose of delivery our services, providing information to our clients and marketing.

- plan managers, support coordinators and SAH providers for funding and reporting purposes;
- regulatory bodies such as the NDIS Quality and Safeguards Commission or the department of Health and Aged Care when legally required;
- professional advisors (accountants, lawyers, auditors) under confidentiality obligations.
- other third party service providers for the purpose of enabling them to provide their services, including (without limitation) IT service providers, delivery partners, data storage, web-hosting and server providers, debt collectors, maintenance or problem-solving providers, marketing or advertising providers, professional advisors and payment systems operators;

- our existing or potential agents or business partners;
- sponsors or promoters of any competition we run;
- anyone to whom our business or assets (or any part of them) are, or may (in good faith) be, transferred;

This information may include but is not limited to your name, delivery address, telephone number, e-mail address, plan managers details or close contacts. We may require this information to liaise with your household regarding your delivery, to complete a credit card transaction or to provide a quote / receipt to your NDIS provider based on your request or the request of your support worker. We also require this information to verify your details with your plan manager to ensure our invoices are paid.
We will collect personal information about you if it is reasonable and practical to do so. The information may be collected in different ways such as via email, over the phone, via our website, from social media, from your support worker, from cookies and other available public information.
You are under no obligation to provide any information requested by us. However, if you choose to withhold requested information, we may not be able to deliver our services to you.
We do not sell or rent personal information to third parties.
PRIVACY FOR NDIS AND SAH PARTICIPANTS
We adhere to the confidentiality, record-keeping and consent requirements under:
- The NDIS Code of Conduct and NDIS Practice Standards;
- The Aged Care Act 1997 and the Aged Care Quality Standards.
We will only share personal information with your authorised representatives or providers for the purposes of service delivery, funding claims or compliance.
PROTECTION
We Feed You takes measures to ensure your personal information is protected from unauthorised access, loss, misuse, disclosure, or alteration.
We may from time to time take measures to destroy or permanently de-identify personal information when it is no longer required. This may be based on personal request or when we decide a customer is no longer active. The types of measures we take vary, but may include the removal of a personal profile on our website and e-news database.
While our site may contain links to other websites, those websites are not subject to our privacy standards, policies and procedures. We recommend that you make your own enquires and read the Privacy Policies of these third parties and we are in no way responsible for the privacy practices of these third parties.
We may also use your personal information in other ways to provide you with a complete service. This may include using your personal information to send you delivery updates and notifications or direct marketing communications to announce new products, delivery changes and services. Other direct marketing communications may include emails, direct mail, SMS, or other forms of communication. You may opt-out of receiving marketing materials from us by using the opt-out facilities provided (e.g. an unsubscribe link or STOP function on texts). You have the right to tell us that you do not want us to send information to you other than for the main purpose for which we have collected your personal details. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. This is used to help deliver services to you.
ACCESS TO YOUR PERSONAL INFORMATION
On request, we will provide you with access to your personal information we hold (except in the limited circumstances recognised by privacy law). If we do not agree to provide you access, we will give you written reasons why. To protect your Personal Information, we may require identification from you before releasing the requested information.
For most requests, your information will be provided free of charge, however, we may charge a reasonable fee if your request requires a substantial effort or cost on our part.
It is your responsibility to ensure the information we have on you is up to date and current. Please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you. CARDHOLDER SECURITY
We Feed You takes the security of your personal details very seriously. All credit card payments made on the We Feed You website are processed via our secure payment gateway. When credit card details are taken over the phone, staff who are taking these details have a National Police Check in place. The card details are enter but not stored. Staff are not permitted to write down or store credit card details and therefore this information will be required to be entered for each purchase.
HOW WE TREAT PERSONAL INFORMATION THAT IS ALSO SENSITIVE INFORMATION
Sensitive information means information relating to your health, racial or ethnic origin, political opinions, religion, trade union or other professional associations or memberships, philosophical beliefs, sexual orientation or practices, criminal records, health information or biometric information. Sensitive information includes:
We will not collect the following information nor are you expected to provide the following information:
- an individual’s racial or ethnic origin,
- health information (excluding your meal preferences required for special dietary needs)
- political opinions,
- membership of a political association,
- professional or trade association or trade union unless working with health professionals,
- religious beliefs or affiliations,
- philosophical beliefs,
- sexual orientation or practices,
- criminal record,
- genetic information,
- biometric information that is to be used for certain purposes, and
- biometric templates.
We only collect, hold, use and disclose information for the following purposes:
- the primary purpose for which the information is collected,
- enabling you to make meal selections based on your dietary needs;
- secondary purposes that are directly related to the primary purpose for which it was collected, including disclosure to the above listed third parties as reasonably necessary to provide our services to you;
- To contact a family member if the number has been provided - should you not be available to discuss your meal choices, delivery options and changes to an order;
- to contact emergency services, or to speak with your family, partner or support person where we reasonably believe there is a serious risk to the life, health or safety of you or another person and it is impracticable for us to obtain your consent; and
- if otherwise required or authorised by law.
STORAGE AND SECURITY
- We are committed to ensuring that the personal information we collect is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the personal information and protect it from misuse, interference, loss and unauthorised access, modification and disclosure.
- We cannot guarantee the security of any information that is transmitted to or by us over the Internet. The transmission and exchange of information is carried out at your own risk. Although we take measures to safeguard against unauthorised disclosures of information, we cannot assure you that the personal information we collect will not be disclosed in a manner that is inconsistent with this Privacy Policy.
PRIVACY POLICY COMPLAINTS AND ENQUIRIES
If you believe that we have breached the Australian Privacy Principles and wish to make a complaint, please contact us using the details below and provide us with full details of the alleged breach. We will promptly investigate your complaint and respond to you, in writing, setting out the outcome of our investigation and the steps we will take to deal with your complaint.
We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days.

- NDIS Quality and Safeguards Commission (for NDIS participants); or
- Aged Care Quality and Safety Commission (for HCP participants).
THIRD PARTIES & DISCLOSURE OF PERSONAL INFORMATION
Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties including the following:
- Third parties where they are onboarding you with our services
- Service providers or families who may be ordering meals for you and therefore need to share your delivery address and contact details.
- Where required or authorised by law.
WHISTLEBLOWER PROTECTIONS
We Feed You is committed to upholding the highest standards of integrity, transparency, and accountability in everything we do. We recognise the important role that whistleblowers play in ensuring the safety and wellbeing of our community — including NDIS participants, aged care recipients, employees, contractors, suppliers, and other stakeholders.
We provide clear and safe channels to report any concerns about misconduct, breaches of law or regulation, unethical behaviour, or poor service practices. This includes any issues relating to the rights, safety, or care of vulnerable people, such as NDIS participants or older Australians receiving care.
Confidentiality and Identity Protection
If you make a report under our Whistleblower Policy, your identity will be protected to the fullest extent permitted by law.
We will not disclose your identity or information likely to reveal it without your consent, except where required by law or authorised regulatory bodies such as:

Protection Against Retaliation
We strictly prohibit any form of victimisation or retaliation against individuals who make a whistleblower report in good faith. This includes dismissal, discrimination, harassment, demotion, or any other adverse action.
Anyone found engaging in retaliatory behaviour will face disciplinary action, which may include termination of employment or contracts.

In addition to reporting to We Feed You, whistleblowers also have the right to make a report directly to external bodies such as the NDIS Commission, the Aged Care Quality and Safety Commission, or the ACCC/ASIC, depending on the nature of the concern.
RETENTION OF RECORDS
We retain records for as long as required by Australian law, applicable health or aged care regulations, or legitimate business purposes.
After that, information is securely destroyed or de-identified.
COOKIES AND WEB BEACONS
We may use cookies on our Site from time to time. Cookies are text files placed in your computer's browser to store your preferences. Cookies, by themselves, do not tell us your email address or other personally identifiable information. However, they do allow third parties, such as Google and Facebook, to cause our advertisements to appear on your social media and online media feeds as part of our retargeting campaigns. If and when you choose to provide our Site with personal information, this information may be linked to the data stored in the cookie.
We may use web beacons on our Site from time to time. Web beacons (also known as Clear GIFs) are small pieces of code placed on a web page to monitor the visitor’s behaviour and collect data about the visitor’s viewing of a web page.
